Generating PDF Receipts & Tax Invoices
Generate, preview, and download professional PDF receipts and tax invoices for customer orders. Customize business branding, banking details, and deliver digital receipts via WhatsApp and email.
Overview & Document Engine
BusinessPlus features a server-side PDF document generation engine built specifically for Kenyan and East African commerce. The system dynamically renders pixel-perfect PDF receipts and invoices incorporating business branding, M-Pesa transaction codes, bank account details, and public verification links.
Document Types: Receipts vs Invoices
BusinessPlus generates two distinct document types depending on order payment status:
- Payment Receipt (Official Receipt): Generated for orders with completed payments. Displays the official receipt sequence number, date paid, payment method (e.g. M-Pesa, Card, Cash), transaction reference code, and zero balance.
- Tax Invoice / Proforma Invoice: Generated for pending or unpaid orders. Displays itemized costs, payment instructions (Paybill / Till / Bank Account), and the outstanding balance due.
Customizing Receipt Templates
Navigate to Dashboard -> Settings -> Receipt Templates (`/dashboard/settings/receipts`) to configure document appearance:
- Business Header & Branding: Configure your trading name, legal registered name, business logo, physical address, and support phone number.
- Banking & Payment Details: Specify your Safaricom M-Pesa Paybill / Till Number, account name, bank name, account number, branch, and SWIFT code.
- Tax Registration Information: Toggle tax registration status and enter your official tax identification number (e.g. KRA PIN) to display on all invoices.
- Custom Terms & Footer Notes: Add personalized return policies, warranty clauses, or thank-you messages displayed at the bottom of the document.
Generating & Downloading PDF Documents
To generate or download a document for an order:
- Open Order Details: Navigate to Dashboard -> Orders and select the target order.
- Click Download or Preview Receipt: Click "Download PDF Receipt" or "Preview Receipt" in the document actions panel. The server renders the PDF and triggers an instant download or opens a new tab.
Sending Receipts via WhatsApp & Email
Staff can deliver receipts directly to customers from the Order Details page:
- Send via WhatsApp: Click "Send Receipt -> WhatsApp" to dispatch an automated message containing order highlights and a secure digital receipt verification link.
- Send via Email: Click "Send Receipt -> Email" to deliver a branded HTML email with the PDF document attached directly.
