Booking Statuses & Appointment Lifecycle
Master the appointment state machine: understand status meanings, transition workflows, cancellation logging, and no-show count tracking.
The Appointment Lifecycle Overview
Every appointment progresses through distinct operational states from initial scheduling to completion. Tracking these states ensures accurate calendar availability and reliable customer history.
Verified Booking Statuses
The six operational booking states in BusinessPlus:
- 1. Pending: Initial state for appointments requiring manual staff confirmation or pending an online deposit payment.
- 2. Confirmed: Appointment is verified, scheduled on the calendar, and the time slot is locked.
- 3. In Progress (Checked In): Client has arrived at the location and the service or treatment is actively underway.
- 4. Completed: Service has concluded successfully. Completed appointments lock against further rescheduling.
- 5. Cancelled: Appointment was aborted prior to start. Records cancellation reason and notifies the client.
- 6. No Show: Customer failed to attend without prior cancellation. Increments the customer's missed appointment counter in the CRM.
No-Show Tracking & Automated Risk Protection
When staff mark an appointment as "No Show", the customer's profile logs the missed attendance. If a customer accumulates repeated no-shows, the system automatically enforces an upfront deposit requirement on all future bookings made with that phone number.
Timeline Audit Events
Every appointment detail sheet displays a chronological timeline capturing creation timestamps, invoice generation, deposit payments, rescheduling changes, and status transitions.
